Receipt Tracking

Construction receipt tracking software

Receipts are the receipts of the construction business — the proof of what was bought and where it went. They're also the single most fumbled piece of job costing, sitting in glove boxes and receipt envelopes until they're lost or forgotten.

The receipt problem on a jobsite

A busy contractor might run three or four supply-house trips a day across multiple jobs. The receipts come back wrinkled, half-faded, mixed in with the gas station and the lunch run. Getting them onto the right job — material vs fuel vs overhead — is exactly the kind of repetitive, error-prone work that gets skipped when the day runs long.

And the cost of skipping it compounds. A receipt that never gets filed is a material cost nobody sees, so the job looks more profitable than it is, and the next bid is built on a number that's quietly wrong.

How JobCostIT reads and files receipts

Photograph the receipt and JobCostIT's AI recognition does the entry: it pulls the vendor, total amount, date, invoice number, and the trade category, then assigns it to the job you're working on (or to company overhead for the non-job stuff like fuel). You confirm, and it's filed.

  • Job assignment from the field. Scan from your phone and pick the active job — the receipt lands on that job's ledger immediately.
  • Overhead and soft costs too. Fuel runs, office supplies, and tool purchases can be tagged as company overhead instead of a specific job. See contractor expense tracking.
  • Batch scanning. Photograph a stack of receipts at once and assign each one rather than typing a single line.
  • Vendor details captured. Vendor email, phone, and address are pulled from the receipt so your Subs & Vendors directory builds itself — useful for COI requests later.

Crew can scan, but can't delete

You can let trusted crew members scan receipts in the field so nothing gets lost in a pocket on the way home. Permissions keep it safe: crew can add receipts to a job, but only you can delete or edit them.

Photograph it. It's filed.

Turn every receipt into a job cost in seconds — no typing, no spreadsheets, no lost glove-box slips.
